Introduction
01At Sport-IMS, we facilitate seamless event registration for athletes and organizers. We understand that circumstances may change, requiring a cancellation. This policy is designed to balance the needs of participants with the commitments made by event organizers.
Please note that Sport-IMS acts as a platform; specific events may have additional cancellation clauses set by the respective organizers, which will be highlighted during the registration process.
Always check the specific event details for any custom cancellation dates set by the organizer before completing your payment.
Cancellation Eligibility
02Cancellation requests are generally eligible if submitted within the following frameworks:
- Early Cancellation: Full or partial refunds may be available if cancelled at least 7 days prior to the event start date.
- Pre-Heat Generation: Once heat lists or group matches are generated/published, cancellations are typically not permitted as they disrupt the competition schedule.
- Medical Exceptions: Cancellations due to injury or medical reasons may be considered upon submission of a valid medical certificate, subject to organizer approval.
Refund Process
03To request a refund, please follow these steps:
- Log in to your participant dashboard and navigate to "My Registrations".
- Select the specific event and click on "Request Cancellation/Refund".
- Alternatively, send an email to our support team with your Transaction ID and registration details.
- Clearly state the reason for cancellation to help speed up the approval process.
Refunds are not automatically triggered. Every request is reviewed for eligibility based on the time of submission and event status.
Refund Timelines
04Once a refund is acproved, we process it through our payment gateways. The timelines are as follows:
- Approval: 2-3 working days for verification by the Sport-IMS team and organizer.
- Processing: 7-10 working days for the bank/payment gateway to credit the amount back to your account.
Non-Refundable Scenarios
05Refunds will not be issued in the following scenarios:
- No-Shows: Failure to attend the event on the scheduled date and time.
- Disqualification: If an athlete is disqualified due to violation of rules, age fraud, or misconduct.
- Post-Event: Requests made after the event has concluded.
- Force Majeure: Events cancelled due to natural disasters or government mandates where the organizer offers a rescheduled date instead of a refund.
Event Postponement or Cancellation
06If an event is cancelled or postponed by the Organizer/S4 Technologies:
- Cancellation: A 100% refund of the registration fee will be processed (platform convenience fees may be non-refundable).
- Postponement: Your registration will be automatically transferred to the new date. If you cannot attend the new date, you may request a refund within 48 hours of the announcement.
Payment Failures & Double Payments
07In case of duplicate payments or technical glitches:
- If the amount was deducted twice for a single registration, the duplicate amount will be refunded automatically within 7 working days.
- If a payment failed but the amount was deducted, it will usually be reversed by your bank automatically within 5-7 days.
Mode of Refund
08All refunds are processed strictly back to the original payment source (Credit Card, Debit Card, UPI, or Net Banking) used during the transaction. We do not provide cash refunds or transfers to alternative bank accounts.
